Ad Hoc Public Arts Committee Meeting Minutes 06/27/2023 4:00PM 1. Call to order. a. 4:00 6/27/2023 2. Roll call. a. Doris Deits, Michelle Marx, Lincoln Cruz, Desere Mayo, Marilea Groves 3. Approval of minutes. a. May 30, 2023 i. Motioned by Doris, seconded by Desere, ii. Vote: Unanimous, all in attendance 4. Public Appearances and Communication (Items are for Discussion and Possible Action). a. None 5. Business (Items are for discussion and / or potential action). a. New Business i. Accounting update, discuss using Art Fair Funds. 1. Use funds to help pay for more utility wraps b. Unfinished Business i. Public Art Fair – Review 1. Discuss adding a raffle next year. a. Historical Society Quilt 50/50 raffle i. Historical Society indicates they have several quilters that are willing to donate quilts for a raffle, half of proceeds would go to art fund, half to Historical Society 2. Discuss expanding next year’s event. a. Expanding to parking lot and/or Spring St. b. Advertising c. Additional time with art cart d. Risers to bandstand e. Booth Sitters f. Art poster/t-shirt design contest g. Add overnight security for Friday into Saturday h. First time artists scholarship or mentorship, provide enhanced resources for their first show. i. Focus on artists who are local to Oregon and are working towards their first art fair ii. Reduced entry fees, provide tent, tables? iii. Mentorship with artists who have exhibited in the past 3. Discuss the layout of the booths, food locations, and vendor spaces. a. Reconfigure for flat areas only b. Adding isles between booths that are back to back to allow for storage 4. Review and discuss changes to the Application Form (to include refund language). Approved 07-19-2023  a. Once an artist has accepted the invitation after being judged in, no refunds will be given except in extenuating circumstances such as loss of life, medical emergency etc. Language to be further defined 5. Discussion regarding only allowing four booths to be located under the shelter. 6. Discuss 2024 Art Fair dates. a. June 8th, 2024 7. Discuss request for live music to be added for 2024 Art Fair. a. Consider acoustic only or self-setup/self-supported with two outlets to 20amp service. 6. Future agenda items and/or member assignments. 7. Next meeting date & time. a. July 19th 4:15 to 5:15 8.
