MEETING MINUTES Ad Hoc Public Arts Committee Meeting Minutes 7/19/2023 1) Call to order. a) July 19th, 2023 4:15 PM 2) Roll call. a) Lincoln Cruz, Doris Deits, Randy Glysch, Marilea Groves, Michelle Marx, Desere Mayo 3) Approval of minutes. a) April 7, 2023 b) June 27, 2023 i) Desere ii) Marilea iii) Vote: (1) In Favor: all present 4) Public Appearances and Communication (Items are for Discussion and Possible Action). 5) Business (Items are for discussion and / or potential action). a) New Business i) Discuss potential Artists for utility box wrapping. (1) Sending forward 4 more pre-approved images to wrap. Expect $2800 for costs (a) Motioned by Randy (b) Seconded by Desere (c) Vote: (i) In Favor: all present ii) Randy reporting on the next steps to have more wraps made. iii) Review and consider recommendation to the Village Board a Grant Application for Madison Community Foundation. iv) One time donation of $200 to Straw Hat Players production of Beauty and the Beast. (1) T-shirt are available in multiple sizes, but we will not reorder more shirts this year. vi) Dale Seidel Garden Sculptures (1) Recommend that they apply to be juried in for next years art show or for sculpture installation. b) Unfinished Business i) The Oregon Historical Society raffling quilts and splitting profits. ii) Discuss working with the Chamber of Commerce to find someone to rent a larger tent next year. iii) Doris to discuss interactive metal sculptures with example photos. Possibly reaching out to Rob Igl. iv) Discuss theme ideas for the 2024 Art Fair, including T-shirt and poster designs. (1) Will have to come up with prompt to send out with application v) Finalize date for the 2024 Art Fair. promotions. (1) Saturday June 8th, 2024 9 AM to 4 PM vi) Discuss booth layout and sizes. (1) Consider 5x8 foot booths inside band shell, if it is used next year vii) Discuss a potential discount for up and coming, or new artist (1) Free booth space for students (2) Support with tables and chairs for first time (3) Dedicated/delineated space for both 6) Future agenda items and/or member assignments. a) Tent costs to be able to figure out how many people we could fit into parking area i) Michelle b) Begin working on verbiage for next years application regarding refunds, new artists/up and coming, students i) Lincoln and Randy c) Come up with design for mural/installation for bathroom and bandshell i) Desere 7) Next meeting date & time. a) Wednesday August 23rd at 4pm or 5 pm 8) Adjournment. a) 5:30 b) Motioned by Michelle c) Seconded by Marilea d) Vote: i) In Favor: all present Members: Lincoln Cruz, Doris Deits, Randy Glysch, Marilea Groves, Michelle Marx, Desere Mayo, and Jason Mahnke (Village Board Representative).
