MINUTES of the JOINT MEETING of the TECHNOLOGY COMMITTEE and TOWN BOARD November 21, 2024 CALL TO ORDER by Chair John Ringhofer at 6:00 pm STATEMENT OF PUBLIC NOTICE read by Chair John Ringhofer ROLL CALL: Chair John Ringhofer, Mary Tyson, Teri Kelly, Theresa Johnson. Online: Joel Skinner, Anton Rang, Tim Whiteside-Sunnylink PLEDGE OF ALLEGIANCE recited ADOPTION OF AGENDA: MOTION to adopt the agenda (Skinner/Rang) APPROVAL OF MINUTES: Technology Committee Minutes of 9-24-2024 Meeting. MOTION to approve the minutes from the September 24, 2024 meeting (Ringhofer/Tyson). Motion carried. PUBLIC COMMENTS ITEMS FOR DISCUSSION and/or ACTIONS BY COMMITTEE 1. Interview potential new committee member and make recommendation: Peter Gallick will be attending the January 2025 meeting for the interview. 2. Ongoing Items  Google Drive/Shared Storage Solution o Synology: Tim Whiteside is available to begin. Clerk and Tim will coordinate and begin the setup of the Synology.  Town Hall update o IT Quotes: Tim stated one of the quotes was updated and he has sent the corrected and updated Quote 22011. Quote 11008 was not approved by the Board. There has been a change in this quote as the government has regulated certain brands are not allowed for government purchase. The processes and equipment is updated on the Quote per current standards. Discussed TVs in the office, surveillance cameras covering the maintenance garage and the east side. MOTION to recommend to the Town Board to approve Estimate 11008 from Sunnylink for the camera security system and we have confirmed with Sunnylink that the version installed is running on Windows 11 (Ringhofer/Rang). Motion carried. o AV Quotes: Discussed putting items together in the same box. This would not work well with the heat factor. Tim stated he has a plan for a separate unit for each. o Update on fiber between the buildings: The Town will be connected at the box on the corner of Cty E and Cty V.  Password management o Password storage: Carry over to the next meeting. Will look into 1Password before the next meeting.  Computer Lifecycle Management: Tim discussed the server lifecyle of approximately 7 years. Expect to update/replace the server in first quarter 2026 (less than $10,000). Current server has 2TB of storage. Support for the current server ends in 2027. No more than 5 years on the desktops, no more than 4 years on the laptops. Discussed replacing the laptops in 2025, the server in 2026, and the desktops in 2027. Discussed the migration of MS 365 when updating. Replace UPS every 3 years.  Website Update: No issues to report at this time.  Review IT Budget: IT budget is in good shape. RECOMMENDATIONS TO TOWN BOARD: Sunnylink Estimate 11008. ITEMS FOR NEXT AGENDA: Interview candidate; Synology; Town Hall Update (no sub bullets); Password Management (1Password); Computer lifecycle (sub bullet laptops) DATE OF NEXT MEETING: January 28, 2025 ADJOURNMENT: MOTION to adjourn at 7:01 pm (Tyson/Rang).
